Managing asset roles

Workspace Admins and Editors can manage asset roles from Workspace settings → Roles.

View existing roles

The Roles page lists all roles in your workspace — both system roles (marked with a system badge) and any custom roles you have created. Each row shows the role name, its key, and a description.

Create a custom role

Select Add Role to open the role form. Fill in:

  • Name — a human-readable label, for example Campaign Hero
  • Key — a slug used internally and in site blocks, for example campaign-hero. The key is filled in automatically as you type the name; you can edit it before saving. Keys must be unique within the workspace.
  • Description — what the role represents, for example Main hero image for campaign landing pages
  • Usage — when to assign this role to an asset
  • Do not use for — common mistakes to avoid

Select Save to create the role.

Edit a custom role

Select the three-dot menu next to a custom role and choose Edit. All fields except the key can be updated. System roles cannot be edited.

Delete a custom role

Select the three-dot menu next to a custom role and choose Delete. Deleting a role removes it from all assets that carried it. It cannot be undone. System roles cannot be deleted.

Once you have the roles you need, assign them to assets or attach them to form questions so they are applied automatically on submission.
